Day 1 Set-Up & Start Guide

Double Nickel helps companies review applicants, communicate quickly, and move candidates forward. This guide shows you what to do on Day 1 so you know where to start and are not stuck.

This guide walks you through everything you need to complete on Day 1 in Double Nickel. Most teams finish setup in under 1 hour.

Follow the checklist below to connect your account, review your first applicants, and start moving drivers through your hiring process.

What “Day 1 Success” Looks Like

By the end of Day 1, you’ll be fully set up and able to:

Get Your Account Ready

  • Log in successfully

  • Set up your profile

  • Connect your email

  • Connect your calendar

Manage Applicants with Confidence

  • View applicants from the Applicants page

  • Filter and create saved views

  • Review applications

  • Edit applications and send back for driver review

  • Move applicants between stages

Communicate with Drivers

  • Send texts and emails

  • Follow up quickly from inside the platform

Process & Move Applicants Forward

  • Place background check orders

  • Send document signature requests

  • Request VOEs

  • Download documents

  • Export applicant data

At this point, you’re fully operational.

Log in to Double Nickel

After you are added to Double Nickel, you will receive an email with information about how to set your password and login.

  • Enter your email address

  • Click Forgot Password

  • Use the password reset email to set your password

  • Login

  • Confirm you land in your dashboard


Set-up Multi-Factor Authentication (MFA) (Optional)

After creating your account, you can enable MFA on your account for more security.

  • Go to the Settings page, then click on Users

  • Click on your user profile

  • Click the edit icon

  • Set-up MFA


Connect your email address (Required)

To send emails and track emails in Double Nickel, you must connect your email address via the Settings page.

  • Go to the Settings page

  • Click on Users

  • Click on your user

  • Click Connect Email

  • Follow the steps on screen to connect your email

Note: For security purposes, the email address you connect must match your Double Nickel email address.


Connect your calendar (Required for Voice Agents)

To allow the AI Recruiter to view your availability and book appointments, you'll need to connect your calendar with a quick set-up process.

  • Create a Cal.com account

    • Go to cal.com and sign up with your email (there’s a free plan)

  • Generate an API key

    • In Cal.com, go to Settings → API Keys, click Add, and create a new key

    • Make sure it’s set to Never Expires, then save it

  • Copy your API key

    • Copy the new API key to your clipboard.

  • Paste the key into Double Nickel

    • In Double Nickel:

      • Go to Settings → Account

      • Choose Sign in to Cal.com

      • Paste your API key into the Calendar API Key field

  • Save and finish

    • Once saved, your calendar is connected - Double Nickel can now schedule and manage meetings in your calendar

  • Recommended: Update Cal.com settings from the default setting (Cal video) to a phone call


View applicants on the Applicants page

To get started reviewing and processing leads and applicants, you can navigate to the Applicants page.

  • Open the Applicants page

  • Click into an applicant profile


Filter applicants on the Applicants page

You can use the filters on the Applicants page to quickly find the applicants you're looking for.

  • Navigate to the Applicants page

  • Click Filters in top right corner

  • Select the filter you'd like to apply


Create and use Saved Views

Saved views let you save your filters, columns, and sort order so you can come back to the same view anytime. Each user has their own saved views.

  • Create a saved view so you can return to the same filtered list and column and sort settings anytime


Move applicants between stages

To keep your pipeline organized and your process moving, it’s important to move applicants between stages.

  • Update an applicant stage so your team can see progress immediately

  • Use applicant stages to trigger automations for automated outreach


Communicate with applicants (Text, call, and email)

To communicate with applicants in Double Nickel, you can navigate to an Applicant's profile and quickly call them or send them an email or text.

Note: Outbound texts and calls originate from the Double Nickel number found under Settings > Company > Double Nickel Number.

  • Send a text

  • Call applicants

Note: Inbound calls made to the Double Nickel number will be routed to either the Company Phone Number or to the Assigned Lead Employee. You can view your current settings and make changes on Settings > Company > Communications.

The current Company Phone Number can be found and updated under Settings > Company > General.

The phone number associated with each employee can be found and updated under Settings > Users.

  • Send an email from your email address

Note: If you have not connected your email, you'll need to do that first.


Review a full DoT application

To review an applicant's full DoT application, you can navigate to their profile and review their submitted information in the dashboard or download a PDF with their information.

  • Review application information by navigating to an applicant's profile

  • You can also view the application PDF by:

    • Scrolling to the bottom of the applicant's profile

    • Navigating to the Documents

Note: The application PDF will only appear once the applicant has signed all consents and submitted the full DoT application.


Update or Edit an application & Send it the Applicant for Confirmation

In Double Nickel, you have the availability to edit applications as needed.

To regenerate the consents and application PDF, you must ask the applicant to sign off on any changes made.

  • Make updates to applications (if needed)

  • Send the applicant their application link so they can correct or complete information (required)

    • The application link can be found in the top right corner of the applicant's profile


Place background check orders

You can place Asurint or HireRight orders directly from Double Nickel.

  • Method 1: Place an order for a single applicant

    • Navigate to an applicant's profile

    • Click Documents or Orders

    • Place a background check order using the Request buttons

  • Method 2: Place orders for multiple applicants

    • Navigate to the Applicants page

    • Select the applicants you'd like to place the order for

    • Click on Actions

    • Click on Bulk Actions

    • Click the Bulk Action Type dropdown

    • Click Run Background Check

You can track the status of orders placed on the applicant's Orders page. If you see an order in 'Pending' status and would like a status update, please check the Asurint or HireRight portal and reach out to their team for more information.


Send document e-signature requests

You can send applicant e-signature requests directly from the Double Nickel platform.

  • Navigate to an applicant's profile

  • Click on Documents

  • Click on Actions

  • Send a document to an applicant for electronic signature


Upload documents

You can upload documents as needed to Double Nickel.

  • Navigate to an applicant's profile

  • Click on Documents

    • Click on Checklist or Documents

      • You can upload documents to checklist items on the Checklist pane

      • You can upload other documents on the Documents pane

  • Upload documents as needed


Download documents

You can download documents as needed from Double Nickel, either individually or in bulk.

  • Navigate to an applicant's profile

  • Click on Documents

  • Download individual documents as needed

  • Select documents then download in bulk under Actions


Send Requests for VOE (Verification of Employment)

Double Nickel’s VOE tools help you locate contact information, log outreach attempts, and complete employment verifications.

Find VOE Contacts

  1. Click VOE on the left side navigation

  2. Open the applicant’s Employment Experience you want to verify

  3. Click Edit on the experience, then use the Contact Name field to select the correct contact from the dropdown

  4. Click Save when you’re done

Log and Complete VOE Attempts

  • Send instructions via email from the VOE page to guide contacts through submitting verification and automatically track progress, or:

  1. Under the VOE table, click the three dots next to the record you want to update

  2. Select Log Contact Attempt

  3. Choose the contact (or enter new contact info) and Save

  4. After three outreach attempts, mark the VOE as complete


Managing Incoming VOE Requests

Double Nickel allows other carriers and partners to send verification requests directly to your account.

  1. Go to VOE on the left navigation

  2. Click Actions in the top right corner to either:

    • Copy VOE request link to share or publish on your website, or

    • Send instructions directly via email

  3. Incoming requests will appear on the VOE page. Click a request to view details and submit a response

What happens next

After Day 1:

  • Applicants will continue flowing into Double Nickel

  • Saved views help you stay organized and consistent

  • When you are ready, use the Help Center, training content, and video library to go deeper
