How to Manage Expiration Tracking in Double Nickel

In this section, we’ll show you how to use Expiration Tracking in Double Nickel. This feature helps your team monitor document expirations, track upcoming deadlines, and manage notifications from one centralized view.

Document expirations are a critical part of compliance in driver onboarding and post-hire processes. As your team grows and manages more drivers, tracking expiration dates manually can become time-consuming and prone to errors. Expiration Tracking helps streamline this process by giving your team full visibility into expiring, and renewed documents in one place.

With the Expiration Tracking page, you can:

  • View all document expirations across applicants

  • Identify upcoming expiration dates

  • Track days remaining until expiration

  • See upcoming and completed notifications

  • Open a detailed sidebar with document and applicant information

  • Review the full audit trail of actions taken

  • Monitor scheduled outreach related to expirations


How to Use the Expirations Page

  1. ⚠️ Enable Expiration Tracking in your company settings before using this feature. (Use this article here: How to Enable Expiration Tracking & Set-Up Automated Reminders in Double Nickel)

  2. From the sidebar, click on Expirations

    Click on Expirations

  3. Customize your view:

    • Click on Filters

      Click on Filters

    • Select the filters you want

      Click on Category

    • Add sub-filters if needed

      Click on Filters

    • Click on Date range

      Click on Date Range

    • Select the date range you want to review

      Click on Last 2 days

  4. Review the dashboard based on your selected criteria. You will be able to see:

    • Applicant name

    • Label

    • Category

    • Expiration date

    • Days remaining

    • Next notification

    • Status

    Untitled step

5. Review the expiration status indicators:

  • 🔴 Red: Expired (past the expiration date)

    Click on 04/02/2026

  • 🟡 Yellow: Expiring soon (within 60 days)

    Click on 05/29/2026

  • 🟢 Green: Healthy (more than 60 days out)

    Click on 08/14/2026


How to View Expiration Details

  1. Click on the applicant’s name to open the expiration details

    Click on Gaston Schattenhofer

  2. In the sidebar, you can review:

    • Overview (status, applicant, category, expiration date, days remaining)

      Click on Overview…

    • Documents related to that expiration

      Click on DOCUMENTS(1)…

    • Scheduled actions (upcoming and completed notifications)

      Click on 0 days before · Applicant…

    • Audit Trail showing all actions taken. This acts as a record of all actions performed, including automated and manual actions.

      Click on AUDIT TRAIL (2)…

    • Click on Edit to make the changes you need.

      Click on Edit

    • Then, Click Save.

      Click on Save


View Expirations from the Main Dashboard

You can also view expiration tracking directly from the main dashboard, where expirations are surfaced based on priority.

  • 🔴 Red: Expired (past the expiration date)

  • 🟡 Yellow: Expiring soon (within 60 days)

  • 🟢 Green: Healthy (more than 60 days out)

    Click on Expirations…

Some applicants will display an expiration tracking icon, indicating that notifications are scheduled for documents with expirations for that applicant.

Click on View tracker

Click on the arrow icon to be redirected directly to that specific document.

Click on Go to Jane Smith's document

When multiple documents exist for the same category, the system automatically prioritizes the one that requires the most immediate attention, such as expired documents or those closest to expiring.


View Expirations from the Applicants Page

You can also access expiration details from the Applicants page.

  1. From the sidebar, click on Applicants.

    Click on Applicants

  2. Locate the To Do column.

    Click on To Do

  3. In the To Do column:

    • You will see the number of expirations assigned (e.g., “8 Expirations”)

      Click on 1 Step…

    • Hover over it to preview the expiration details

      Click on dropdown trigger

  4. Click on the expiration item and you will be redirected directly to that specific document.

    Click on Mvr…

Now you can manage document expirations, review upcoming deadlines, and track related actions from one centralized page!
