How to Set and Edit an Expiration Date for a Document

In this section, we’ll show you how to set an expiration date when uploading a document and how to edit or manage it later if needed.

Steps to Set an Expiration Date:

  1. From the sidebar, click on Applicants

  2. Click on the name of the applicant you want to update

  3. From the top bar, click on Documents

  4. Click on Upload

  5. Click the box to upload or drag and drop your file:

  6. Complete the document details:

    • Add a Name

      Type File name

    • Select a Category

      Select Category…

    • Select a Status (Pending Review or Completed)

      Select Status

    • Select an Expiration Date from the calendar

      Select a date

    • Or click Expires in One Year if applicable

      Click on Expires in one year

  7. Click Save

    Click on Save

Note: If Document Intelligence is enabled, some document fields, including the expiration date, will be filled in automatically after the document is analyzed. Expiration Status Indicators

Expiration dates now show a colored dot across all document views:

  • 🔴 Red: Expired (past the expiration date)

    Click on Documents

  • 🟡 Yellow: Expiring soon (within 60 days)

    Click on Documents

  • 🟢 Green: Healthy (more than 60 days out)

    Click on Documents


Expiration Tracking Icon

Some documents will display an expiration tracker icon, which means that expiration reminders are scheduled. (See: How to Enable Expiration Tracking & Set-Up Automated Reminders in Double Nickel)

To view details:

  1. Click on the expiration tracker icon

    Click on View tracker

  2. In the sidebar, review:

    • Overview

    • Documents

    • Scheduled actions

    • Audit trail

      Click on Overview…


Edit an Expiration Date

  1. Locate the document and click on the three dots for Actions

    Click on Actions

  2. Update the expiration date or other fields

    Click on File name…

  3. Click Save

    Click on Save


Mark a Document as Renewed

Use this option when a document has been replaced or updated. Marking it as renewed removes it from active expiration tracking and ensures the system focuses on the most recent valid document.

  1. Locate the document and click on the three dots for Actions

    Click on Actions

  2. Select Mark as Renewed

    Click on Mark as renewed

Now you can set expiration dates, track document status, and keep applicant records up to date with confidence!
