How to Track Marketing Budgets, Cost per Lead & Cost per Hire

Learn how to enter your monthly marketing budget by lead source in Double Nickel and see cost per lead and cost per hire on the Marketing tab, plus how to control who can see those numbers.

In this section you will learn how to enter your monthly marketing budget by source in Double Nickel, and how to read cost per lead and cost per hire on the Marketing tab.

Overview

Marketing budgets let you put your spend next to your results, so you can:

  • Enter what you spend each month for each lead source, and split a source by tracking link name when one vendor covers several campaigns.

  • See cost per lead and cost per hire for every source, calculated from the budget that falls inside the date range you are viewing.

  • Keep spend private with a per-user permission and a Costs toggle, so budgets are only visible to the people you choose.

Budgets are entered per calendar month and apply to your whole company. They are not tied to a specific recruiter, job listing, or job type.

Part 1: Get Access to Marketing Budgets

Marketing budgets are hidden from everyone by default, including admins. Someone with user management access has to grant the permission first.

  1. From the sidebar, click Settings.

  2. Open the Users tab.

  3. Click the name of the person who should see budgets.

  4. In the Permissions section, grant View and edit marketing budgets.

  5. Repeat for anyone else who needs access.

Anyone with this permission can both view and edit budgets. Anyone without it does not see the budget columns, the Costs toggle, or the Manage budgets button at all.

Note: If you were granted the permission while already signed in, refresh the page before the budget options appear.

Part 2: Enter Your Monthly Budget

  1. From the sidebar, click Pipeline Analytics.

  2. Open the Marketing tab.

  3. In the Pipeline by Source section, click Manage budgets.

  4. Use the arrows beside the month name to move to the month you want to budget.

  5. Click Edit.

  6. Click Add source, choose a lead source, and enter the amount you spend on it that month.

  7. (Optional) Click the + beside a source to split it by tracking link name, then enter an amount for each. Use this when one vendor covers several campaigns.

  8. Click Save.

The month total at the top of the drawer adds up every line you entered.

Note: Saving replaces that month's entire budget with what is on screen, so make sure every source you want to keep is listed before you save.

Part 3: See Your Cost Columns

  1. On the Marketing tab, find the Pipeline by Source section.

  2. Switch the Costs toggle on.

  3. Four columns appear: Total Budget, Pro Rated Budget, Cost per Lead, and Cost per Hire.

  4. (Optional) Click a column heading to sort by it, or expand a source to see the same figures for each tracking link name.

All money is shown in whole dollars. Hover over any figure to see the exact amount to the cent.

Total Budget vs Pro Rated Budget

These two columns answer different questions, and the difference matters whenever your date range is not a full calendar month.

  • Total Budget is what you entered for the months your date range touches. It does not change with the date range.

  • Pro Rated Budget is the share of that budget that falls inside your date range.

For example, if you budget $500 for Indeed in July and then view July 7 to August 6, your range covers 24.8 of July's 31 days. Total Budget shows $500 and Pro Rated Budget shows $401.

Cost per Lead is the Pro Rated Budget divided by that source's leads. Cost per Hire is the Pro Rated Budget divided by the drivers who applied in that range and were eventually hired. Both use the prorated figure so the spend and the results cover the same days.

Note: Select a full calendar month and Total Budget and Pro Rated Budget will match exactly.

Hiding Costs While Sharing Your Screen

The Costs toggle starts switched off every time you open the Marketing tab, and it is never remembered between visits. Showing spend is always a deliberate action, so you can share this tab in a meeting without your budget appearing on screen.

Important Notes

  • Nobody sees marketing budgets until the permission is granted to them.

  • Budgets are entered per calendar month and apply to your whole company.

  • The cost columns are hidden while a recruiter, job listing, or job type filter is active, because a company-wide budget cannot be split across those.

  • A dash means no budget was entered for that source. A $0 means you deliberately budgeted zero.

  • Leads and hires shown on this tab are attributed leads only, so a source needs a tracking link for its budget to have anything to measure against.

  • Cost per Hire can look high on recent date ranges, because drivers who applied recently may not have been hired yet.

Now you can enter your marketing spend, see what each source costs you per lead and per hire, and keep those numbers visible only to the people who need them!
